We have written a number of blogs like ‘top tips to get the best deal on your rental car’ and ‘best way to avoid the queue’s at the rental desk’. What we haven’t covered before is what to avoid when booking or collecting you rental car. Things you just should not do.

If you stick to the suggestions outlined below then not a lot can go wrong with your rental. Obviously things can and do go wrong sometimes but with the support of our reservations team, we will ensure that you have all of the tools needed for a smooth experience when renting a car.

In no particular order, have a read and let us know if you have any suggestions to add to our list of Things To Avoid When Hiring A Car.

Do Not:

Leave It Until The Last Minute.

With the slow production of cars, booking in advance is encouraged. The closer you leave it to the collection date, the likelihood of obtaining a good price is unlikely. Now that countries are opening up, people are starting to move confidently and those who are desperate for some sun are booking in advance to make sure the best price is booked.

We know that paying in advance through these uncertain times is not ideal, so we offer flexible payment options. Contact us to discuss further as we have pay on arrival options.

Book Without Entering Your Age.

Hiring a vehicle under the age of 25 or over 70 can be tricky; not all suppliers offer rental options to drivers outside of the ages mentioned due to their insurance providers restrictions. Booking a vehicle online without specifically inputting your age could mean that you cannot collect the vehicle and you lose the money that you have paid.

To avoid this issue, contact our team, we have locations where we can avoid the substantial young drivers fee and have suppliers who can help up to the age of 99.

Assume You Can Pay With Someone Else’s Card.

When hiring a vehicle, we can arrange a pre-payment through anyone’s card, so long as you speak to an agent over the phone, via email or through our online chat facility. However, when collecting the vehicle, the lead driver must present their own card for the supplier to block the security deposit.

Book For An Airport Location Without Giving Your Flight Number.

If you book and pay for a rental car at an airport, especially those arriving late at night and do not add your arrival flight number, if your flight is delayed the desk staff will not be aware and will not wait around.

Just Click ‘I Have Read The Terms & Conditions’ Before Booking.

This is a big ‘do not’ when hiring a vehicle. The reason being, each supplier has different terms and conditions, some require high deposits, some cannot accept debit cards and some even have an upper age limit. PLEASE MAKE SURE YOU READ ALL TERMS AND CONDITIONS TO BE AWARE OF WHAT YOU ARE SIGNING UP TO. THIS IS ALSO VALID WHEN COLLECTING YOUR CAR, DO NOT JUST SIGN THE PAPERWORK, READ AND CHECK IT.

Assume Anyone Can Drive The Car.

When making a reservation, unless stated clearly, the price that you book and see online will include one driver. The details of the driver that you input will be the lead driver. When collecting, representatives will offer an additional driver, however this will be an additional charge with most suppliers.

Depending on where you are looking to hire from, our agents can search for a supplier who offer a free additional driver to reduce your overall car hire cost. You will need to speak to us though by way of phone, email, or the live chat facility on our website.

Accept An Upgrade Unless Offered For FREE.

The representatives earn commission from selling additional products such as a GPS, child seat, additional driver, additional insurances, and vehicle upgrades. If offered an upgrade, always ask whether it is a FREE upgrade prior to saying yes.

Try & Use A Payment Card If You Do Not Know The Pin Number.

Although smart phones provide the option to pay without using a pin or even presenting your card, this does not work when hiring a vehicle. Our suppliers will strictly require the lead driver to present their valid payment card, inputting that into their chip and pin machine and processing the pin. If you do not know the pin, that will lead you down a sticky path, the payment will not process, and the supplier will not release a car to you.

Forget To Inspect The Car Prior To Driving Away.

Prior to leaving the depot where you are collecting the vehicle, we encourage all our clients to have a walk around the vehicle to make sure that the damage sheet is up to date. It could be that the agent who checked the vehicle in from the previous customer missed a scratch or dent. So, if you walk around the vehicle and make sure the agent is aware of anything that is missing, you will not be penalised.

Doing the opposite to the above and not walking around the vehicle, driving away could lead you to paying for damage that you have not caused.

Sign A Contract Without Checking It.

If you are hiring a vehicle on holiday, the flight can be very tiring, and you may think that rushing through the airport and signing the paperwork for the car is the easiest thing to do, wrong. Representatives earn commission from selling additional products to each client, so items will be offered to you, which if you are tired can be added quite easily, especially if there is a language barrier or you feel pressured.

We always encourage clients to make sure the rental agreement matches up to the price that we have quoted. Should there be any additional charges that do not make sense, or you are struggling to understand why there is a difference, call us. Our team are always available, no matter what time – we have an out of hours facility if you are collecting a vehicle out of our normal operational times.

Forget To Take Your Driving Licence.

Hiring without the photo card of your driver’s licence is very, very tricky. Depending on the location, we have suppliers who can help, but you cannot book online yourself.

95% of suppliers will strictly require the photo card of your driver’s licence to be presented on collection of the vehicle and should you fail to present it, you could lose the monies you have originally paid.

Forget To Refuel The Car Before Returning.

When collecting a vehicle, 90% of suppliers have a full-to-full fuel policy, meaning you will be provided with a full tank of fuel, simply return the vehicle full to avoid an overly inflated refuelling fee plus an administration fee for having to refill the vehicle.

Return The Car And Post The Key If There is Someone Around To Check The Car In.

When returning your hire vehicle, if it is within the suppliers operational hours, do not post the keys through the key drop box. We always encourage our clients to find a representative to sign the vehicle in, making sure that you do not incur any surprising charges at a later date.

Forget To Take A Photo Of The Car If Returning Out Of Office Hours.

If you are scheduled to leave on an early or late flight. Or you are in a rush to get to work early in the morning, if there are no representatives around to sign off the paperwork, cover yourself by taking pictures of the car in the safe spot where you have parked, from various angles (the wheels and all around the car). Showing that there is no damage.

Return The Vehicle Without Giving It A Clean.

When returning your vehicle back to any rental company, the last thing you want to incur is a valet fee for some sand, dirt or animal hair that has been left in the vehicle. These fines can be quite high, so you are always worthwhile giving the vehicle a quick clean vacuum.

How long do you need to have your licence to rent a car?

So how long do you need to have your licence to rent a car? This question is not quite as easy to answer as you might expect – it actually varies quite heavily based on the supplier and the country of rental, as they all have varying terms. The vast majority though will require at least a year if not more, making it very difficult for someone who’s only recently just passed their test.

Thankfully we have managed to arrange a deal with a few suppliers to remove this limit, so as you long as you are 25+ and have received the full physical photocard then we can arrange this no matter how long you’ve held a licence for.

What locations can I rent from as a new driver?

Here’s a list of the countries that we can currently arrange rentals in for new drivers:

For each country we have branches nationwide, and the list is also continuously expanding, so feel free to ask us if you need to hire from somewhere else. For most other countries the minimum is just a year, so we can generally help anywhere at all if you’ve held it for a year.

Why are there restrictions in place at all?

It can certainly seem quite arbitrary sometimes – what’s really the difference between 11 months and 12? Well the simple answer is that it all comes down to insurance. Each supplier has separate insurance terms, so if you don’t fit these terms the insurance just won’t cover you. There are even a few countries that require more than a year, for example all rental supplier in Cyprus require at least 3 years on the licence. Thankfully this is becoming less common now and insurance terms are becoming more flexible.

We have a new package deal available with a large supplier offering Zero Excess Car Hire In Italy. In short, this means that if you were to damage the vehicle then you would not be liable for any charges.

This offers peace of mind to many rental customers. Excess charges in Italy can be upward of €1,500. This is obviously a huge amount to have to fork out at the end of your holiday.

The Zero Excess Car Hire In Italy package deal must be booked upfront when reserving the vehicle. It works out at around €12 per day on top of your rental cost. This is about 50% of the cost you would pay if you left it until you arrived to protect your excess with an extra insurance policy.

Who Qualifies For Zero Excess Car Hire?

We have worked closely with the supplier to make this Zero Excess package available to many of our customers. If you do not have a credit card, they will accept payment from the driver’s debit card. Young drivers are accepted and you only need to have held your licence for 12 months to be able to hire from this supplier.

You will need to leave a deposit of €150 when collecting the car. This will be 100% refundable as you have no liability, even if the car is damaged. Providing you are driving the vehicle in accordance to your rental agreement.

London’s ULEZ Is Expanding & It Will Affect Millions Of People

LONDON’S ULEZ IS EXPANDING & IT WILL AFFECT MILLIONS OF PEOPLE

You may or may not have heard about the Congestion Charging Zone (CCZ) and London’s ULEZ (Ultra Low Emissions Zone) but unless you ever drove into central London then this will not have affected you.

What you may not be aware of is the planned expansion of the ULEZ which will, in October 2021, leave the constraints of the CCZ and expand massively into Greater London. The below maps will highlight the dramatic increase in area and how it will affect millions more drivers and business owners.

From 25 October 2021 London’s ULEZ boundary will be expanded from central London to create a single larger zone up to the North and South Circular Roads. The North and South Circular Roads are not in the expanded zone. Vehicles using these roads and not going into the ULEZ will not be charged. If you are driving any petrol or diesel vehicle within the expansion you will also need to meet the tighter emissions standards or pay a daily charge.

This daily charge is in addition to the CCZ charge for central London, it is not included.!! More information on this can be found on the Transport For London (TFL) website.

London’s ULEZ Charges

  • Cars, Motorcycles & Vans (upto and including 3.5 tonnes) will be charged £12.50 per day.
  • Heavier vehicles, including Lorries (over 3.5 tonnes) and Buses/Coaches (over 5 tonnes) will be charged £100.00 per day.

Signs at every entry point will tell you when you are entering the zone and advance information signs will be installed on surrounding major roads.

There are no barriers or toll booths. Instead, cameras will read your number plate as you drive within the zone and check it against our database. This will tell TFL automatically whether or not your vehicle meets the ULEZ emissions standards.

Who Will Have To Pay London’s ULEZ Charges?

The charges will apply to everyone who enters the zone (with very few exemptions) for personal or business purposes whose vehicle does not meet the minimum standards for free travel within London’s ULEZ. (Excluding the congestion charge zone)

Those standards are:

  • Euro 3 (NOx) for motorcycles, mopeds, motorised tricycles and quadricycles
  • Euro 4 (NOx) for petrol cars, vans and other specialist vehicles (up to and including 3.5 tonnes gross vehicle weight) and minibuses (up to and including 5 tonnes)
  • Euro 6 (NOx and PM) for diesel cars, vans and other specialist vehicles (up to and including 3.5 tonnes) and minibuses (up to and including 5 tonnes)

To avoid the ULEZ charge, petrol cars must meet Euro 4 emissions standards at the least. Most petrol cars produced on or after January 2006 will be Euro 4 compliant.

Only Euro 6-compliant diesel cars are exempt from ULEZ charges. Almost every diesel car produced since September 2015 meets the standard.

All electric cars are exempt from ULEZ charges. Hybrid cars with a petrol engine must comply with Euro 4 regulations. Diesel hybrids are only ULEZ-exempt if they meet Euro 6 standards

To see which, if any charges you are liable for when entering the ULEZ or CCZ, you can enter your registration on the TFL website and it will list what you are expected to pay.

ULEZ Exemptions & Discounts

Some drivers and vehicles qualify for at least a temporary discount from the Ultra Low Emission Zone charge (ULEZ). Others are entirely exempt.

These can include but are not limited to residents of the area who have applied for a residential permit in time, disabled rivers or vehicles for disabled people, Taxis, Private Hire Vehicles, Historic Vehicles, Some Agricultural Vehicles, Military Vehicles, Community Minibuses, Non Road Going Vehicles and some types of mobile Cranes. What Does This Mean When Hiring A Car?

When hiring a car, you the driver or the person named on the rental agreement are responsible for paying all driving related tolls and charges. This includes, parking fines, congestions charges and the new expanded ULEZ.

One thing to bear in mind is that the majority of rental companies have a fleet of vehicles with a maximum ages of 2-3 years. This means that most rental vehicles (excluding large commercial vehicles) should meet the new standards and allow free travel within the ULEZ. However, it is your responsibility to ensure this is the case before you enter any such chargeable zone. Most suppliers will have more information on this but simply asking the question can put your mind at ease.

Our Advice For Driving Into London’s ULEZ

  • Before driving into the Central London Congestion Charge and ULEZ zone, ensure you have checked whether your vehicle is subject to the ULEZ charge.
  • Remember the ULEZ operates 24 hours a day, 7 days a week (excluding 25th December) and will also operate on days when the Congestion Charge may not be. When the Congestion Charge is in operation, you will be charged for both.
  • If you are going to London on a day-trip, check other alternatives such as train travel and tube travel, which may work out cheaper than ULEZ, Congestion Charge and parking options.
  • Plan your route – if you are crossing London from north to south, east to west or vice versa, you should set your sat-nav to avoid local charge/toll areas.

One of the most frequently asked questions that we get is What happens if you get a parking ticket in a rental car? It’s a relatively common issue, usually accidental, but thankfully the process is a lot more straightforward than it sounds.

What’s the process?

So as soon as you spot the parking notice on your windscreen, the authorities issue the fine to the actual rental company rather than yourself, such as Avis, Enterprise or Hertz etc. The supplier then sends you the parking fine directly to arrange payment. They will usually add an administration fee on top, this varies based on the exact supplier. This does sound a bit excessive at first glance, but the suppliers often have to employ entire teams dedicated to chasing up fines with customers, so it does make sense they would need a way to finance it.

How can I avoid / resolve the situation?

The only real way to avoid it is by paying close attention to where you park, but mistakes can and do happen and it’s easy to make a slip up without realising. The best way to resolve is to just pay the fine as soon as you get it to avoid any further issues. In most cases the fine is also reduced by 50% if you pay within 14 days. It’s a fairly similar situation with road toll charges too, though at least you can often rent a toll device to offset the admin fees.

There was a recent report by the BBC on the ‘Catastrophic backlog at driving licence body, DVLA’. This explains how, due to covid-19. Staffing levels at the Swansea based government agency have been reduced. Mainly due to social distancing rules in Wales. Staff members have not been allowed to work from home for security reasons. This means the back log of licence applications and amendments hit upwards of 1.4 million.

In this article it mentions Laura-Louise Fairley. Who applied for a replacement driving licence in order to hire a car to visit family in Buckinghamshire and Berkshire with her daughter. She has attempted to reach the DVLA around 30 times, but has only been able to speak to an operator once. On other occasions, she says she was directed to an automated message that then ended the call. And on the website, her request is labelled as being “in process”.

The Difficulty for Laura-Louise and many other people is that most car rental suppliers have a strict rule. One which requires you to provide your driving licence in order to drive away in your rental car. This has improved somewhat in recent years with the introduction of the online ‘DVLA Check Code’.

Is There A Way Around It?

Yes, we now work with a number of UK suppliers who will provide a rental car without the need to have your physical driving licence present. So even if you have sent your licence off the the DVLA because it has expired, for a change of address or even to have penalty points added we can still, in most cases, arrange a hire car for you.

If you have sent off for your first licence after passing your driving test, this may not be as helpful to you. There is a chance your licence details have been updated online and you are just waiting for your licence in the post. However if your request for a new licence is sat in the backlog and nothing has been changed online. Unfortunately we will not be able to arrange a rental car for you. We would just have to check each of these cases on an individual basis.

What are the requirements?

The requirements for our leasing options are very lax compared to most suppliers, and there are very few differences if you are under 25. Here are the main requirements below:

  • Your licence must be clean, though exceptions can be made with minor speeding points etc.
  • You need to have held a licence for at least a year.
  • You need to be in employment for at least 2 years.
  • Your credit doesn’t affect anything – there are no credit checks.

What are the rates and types of car available?

You can find most of the models we have and their rates on our leasing page here. We mostly work with VW and Skoda suppliers, however if you have any other specific requests feel free to check with us directly.

How long can I rent for?

The minimum lease period is 3 months, and then this can be extended indefinitely beyond this.

Is there a mileage limit?

Mileage is limited to 2000 miles per month.

Is there a credit check?

There are no credit checks, just straightforward address checks, which just checks if all of your details are linked to the same address.

What’s the minimum age?

The minimum age is 21, so anything above that is fine.

Is insurance included in the rental? 

Fully comprehensive insurance is included in the rental and is built into the rate. If you are looking for something without insurance though we may have other options available.
